Call for Session Proposals for Oral Presentations, Posters, and Workshops
10th International Oak Society Conference

Overview
Every three years, the International Oak Society Conference brings together oak experts and enthusiasts from around the world to share ideas and information. Sessions will cover a broad spectrum of topics, while workshops, tours, and special events will provide time for collaboration, networking, and appreciation of the diversity of oaks from New Mexico, Texas, Arizona, and around the world. The Conference is anticipated to draw hundreds of attendees including professional and amateur botanists, biologists, ecologists, conservationists, landscaping professionals, nursery managers, land use planners, students, agency staff, policymakers, environmentalists, researchers, backyard gardeners, volunteers, and oak enthusiasts.
Presentations will be organized into themed sessions, a poster session, and hands-on workshops will also be offered. The focus of this Conference will be “Oaks in a Wild Landscape: Conserving Species and Restoring Balance.” General topic tracks for the Conference program include horticulture, urban forestry, oak evolution and natural history, conservation, restoration, climate modeling, ecosystem processes, physiology, and oak culture and utilization. All presentations and workshops should have a clear and direct connection to oaks. Please note that oral presenters will be required to submit an article to International Oaks, the Journal of the International Oak Society.
Submitting a Session Proposal
Session Proposal Format Requirements – REVIEW BEFORE BEGINNING THE SUBMISSION PROCESS
Session Type
Select one of the following options:
- 30-minute oral presentation (20 minutes for presentation and 10 minutes for questions)
- 60-minute oral presentation (50 minutes for presentation and 10 minutes for questions)
- 30-minute pre-recorded video presentation (20 minutes for presentation and 10 minutes for questions, to be answered live via the virtual platform)
- Poster presentation
- 1-hour workshop
- 2-hour workshop
Title

Session Abstract/Description
- 250-word limit
- Abstracts for oral and poster presentations
- Abstracts should not be merely a description of the contents of the talk, but should explain the purpose of the work, methods used, and results/conclusions.
- Do not use phrasing such as “will be discussed/reported.”
- Begin with a clear statement of the subject, problem, or objectives.
- Provide brief methods, major results, and conclusions if a research talk.
- Do not include literature citations.
- Descriptions for workshops
- Provide a brief summary of your proposed topic and format.
- Summarize anticipated learning outcomes.
- All abstracts and workshop descriptions must use standard English and follow English syntax, grammar, and punctuation rules.
Presenter(s), Affiliation(s), and Biography
- When you enter your information in the form, please spell out the full affiliation name, and provide the country name (e.g., New Mexico State University, USA).
- Provide a brief biographical paragraph about the lead presenter highlighting their experience relating to the session proposal (150-word limit).
- Provide names, affiliations, and email addresses for any additional presenters.
Special Session Requirements
- All session rooms will be equipped with a computer preloaded with your presentation, projector/projection screen, presenter remote, and microphone. If you need additional materials for your presentation or workshop, please specify your requirements.
Session Topic
- You will need to indicate a themed session topic that most closely describes your presentation. A list of topics and descriptions will be available on the Conference website.
Session Proposal Submission Process

Format your proposal to the above format requirements and determine the session type(s) and topic(s) you will be submitting.

Go to the Conference Website and follow the link to the online submission form.

You must enter your email address to create and submit the proposal.

Follow the instructions on the form and submit upon completion.

You should receive a confirmation email that contains your submission information. If you wish to change any information in the submission, you will be able to return to the form and edit your submission until the deadline on April 1, 2022.
Session Proposal Review Process
- The International Oak Society is committed to developing a high-quality program, thus proposals will be submitted to a thorough review process. Proposals will be reviewed by members of the program selection committee, composed of experienced professionals and oak experts.
If Your Proposal is Selected
Notification
If your proposal is selected, you will be notified with an acceptance email by May 13, 2022 at the latest.
Conference Registration
All presenters must register for the Conference and are responsible for paying registration fees. Registration will be available on the Conference website.
Article Submission
All 30 or 60-minute oral presentations must be accompanied by an article for the Conference Proceedings in International Oaks, the Journal of the International Oak Society. Please refer to the Guidelines for Authors in preparing your article for the Journal. The article submission deadline is September 16, 2022.
